E-Therapy Australia — Privacy Policy

E-Therapy Australia (ABN 98798284393) is committed to protecting your privacy in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

As a provider of health services, E-Therapy Australia is bound by the Privacy Act regardless of annual turnover — the small business exemption does not apply to health service providers.

In this policy, “we” and “us” refers to E-Therapy Australia, a sole-trader telehealth psychology practice operated by Dave Khouri. “You” refers to any individual about whom we collect personal information.

About E-Therapy Australia

E-Therapy Australia provides telehealth psychology services via video-conferencing, telephone, and email, arranged through our website and Halaxy practice management system.

What information we collect

When you make an enquiry or become a client, we collect information including:

  • Your name, email, phone number, and contact details
  • Demographic information relevant to your care
  • Clinical information you provide as part of intake and ongoing treatment, which may include mental health history, diagnoses, risk-related information (including suicidal ideation, where relevant), medications, and other health information necessary for your care
  • If you’re a referrer (GP, case manager, support coordinator): your name, organisation, and contact details, and information relevant to the referral
  • If NDIS or ICWA-funded: information relevant to your plan management type and funding arrangement

You can decline to provide any of this information, but doing so may affect our ability to provide you with services.

How we collect it

Generally, directly from you — through our website’s enquiry form, the Halaxy intake form, email, or during sessions. Where you’ve given consent, we may also receive or share relevant clinical information with your GP, case manager, support coordinator, or other treating professionals as part of coordinated care.

Why we collect and use it

  • To assess your needs and provide appropriate treatment
  • To generate case formulations and treatment plans
  • To maintain session records required for safe, informed clinical care
  • To manage bookings, billing, and NDIS/ICWA claims
  • To respond to enquiries and complaints
  • To meet our legal and professional obligations as a registered psychologist

Our website

Visiting etherapyaustralia.org doesn’t identify you unless you submit the enquiry form. The site may use cookies for basic functionality; you can control this through your browser settings, though doing so may limit some site features.

How we store and protect your information

Clinical records are held in Halaxy, a secure Australian practice management system, protected by industry-standard security measures. We take reasonable steps to protect your information from misuse, loss, and unauthorised access, and destroy or de-identify information we no longer require, in line with our professional record-keeping obligations.

When we disclose your information

We keep your information confidential except where:

  • Required by law (court order, subpoena, or other legal obligation)
  • Disclosure is necessary to prevent serious and imminent harm to you or another person — under the National Safety and Quality Health Service Standards, this may require us to contact emergency services
  • You’ve given consent for us to share information with another person or service (for example, a referring GP or a case manager)
  • Necessary for billing, NDIS/ICWA claims processing, or engaging professional advisers (such as an accountant or indemnity insurer) on confidential terms

We do not sell or use your information for direct marketing.

Electronic transmission

Sessions and communication conducted electronically carry some inherent security limitations. We take reasonable precautions, but electronic transmission is not entirely secure and information could, in rare circumstances, be intercepted or affected in transit.

Accessing or correcting your information

You can request access to your personal information at any time, free of charge (though we may charge for the time/cost of compiling extensive records). If you believe any information we hold is inaccurate or out of date, you can request a correction, and we’ll take reasonable steps to address it.

Complaints

If you have a concern about how your personal information has been handled, contact us using the details below. We’ll aim to acknowledge your complaint within a week and resolve it within 30 days where possible.

If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner: 1300 363 992, or www.oaic.gov.au.

Changes to this policy

We may update this policy from time to time. The current version will always be available on our website.
